Receipts
With the Receipts option you can provide your survey participants with the completed questionnaire as a PDF receipt via a download link, or you can send the receipt as an email attachment. You can find the option under Project > Survey menu > Questionnaire editor > Receipts. |
---|
Settings
If you select the Receipts option from the menu on the left-hand side of the questionnaire editor, you will first be taken to the Settings menu. Here, under Appearance, you can specify whether the questionnaire should be displayed in portrait or landscape format and select whether a page break should be inserted for each new questionnaire page. The checkbox for the page break is activated by default. If you prefer a shorter and more compact receipt, you can simply deactivate the corresponding checkbox.
Under Distribution, you can specify how you want to provide participants with the receipt. If you would like to add a link to the receipt on the end page of the questionnaire (detailed instructions under "Add link to PDF receipt"), you do not need to make any settings here. If you would like to send the receipt to participants by email, activate the Send receipt by mail checkbox and continue with the steps under "Send receipt by mail".
Exclude questions
To the right of the Settings tab, you can find the Exclude questions tab. Here you can select the questions that should not be included in the receipt. The end page of the questionnaire is always excluded.
Send Receipt by Mail
If you would like to send the receipt by mail, follow the steps below. Please note that the PDF receipt will only be sent to participants who reach an end page with a disposition code between 31 and 34. Screened-out participants (disposition code 37), for example, will not receive a receipt.
Open the questionnaire editor in your survey project and select the Receipts option.
On the Exclude questions tab, if applicable, select which questions should not be included in the PDF receipt, and click Save.
Switch back to the Settings tab and define the desired settings under Appearance.
Then activate the checkbox for Send receipt by mail under Distribution.
Select the desired mail template or create one first (either under Survey menu > Mail templates or directly via System > Libraries > Mail templates. Detailed information about mail templates can be found here).
Below you can see an example of a mail template. Mail sender and Subject are mandatory fields. As the PDF receipt is attached to the email, no special link to the document is required in the template. The placeholders used are optional. To display an overview of all available placeholders, click on the information symbol under "Subject*ā.
For personalized projects: For personalized projects, you can select the Send receipt by mail to the participant checkbox. All participants who reach an end page with a disposition code between 31 and 34 will receive a PDF receipt by email if this option is activated.
For personalized and anonymous projects: Under Additional mail recipients, you can enter placeholders for variables from this survey, for example another participant variable such as #u_department_head#, or variables from the survey that were used to query an e-mail address. You can also enter an email address manually, for example 123@tivian.com.
Insert Link to PDF Receipt
On the final page of your survey, you can add a link that participants can use to download a PDF receipt. To do this, proceed as follows:
Make General Settings
Open the questionnaire editor in your survey project and select the Receipts option.
Specify the desired settings on the Settings tab under Appearance and click on Save.
Then switch to the Exclude questions tab and, if necessary, select the questions that should not be included in the PDF receipt. Click on Save.
Add Link to Final Page
Open the end page of your survey.
Draft the desired text with a reference to the option of downloading a PDF receipt.
Click on the drop-down menu next to Insert code automatically, and select the PDF receipt option.
The link to the PDF receipt is inserted. Click on Save.
Below you can see an example of how the link to the PDF receipt is displayed by default. If required, the display text of the link ā in this case "PDF receipt" ā can also be customized. You can find more information on this under "Customize the display text of the link".
Please note that the link to the PDF receipt only works for real participations ā i.e. not in the preview.
Ā
Customize the Display Text of the Link
If necessary, you can customize the display text of the link to the PDF receipt ā you can even replace it with an image. To do this, proceed as follows:
Generate the link as described under "Add link to Final Page".
Then click on the source code icon.
You can now customize the display text of the link to the PDF receipt in the source text editor.
If you would like to replace the link with an image, first upload the desired image to the media library. Then click on the info symbol in the line with your image and copy the absolute path to the image.
Then paste the path into the source text, replacing the text "PDF receipt".
Ā
Show intermediate receipt during the survey
It is also possible to place the link to the PDF receipt on any standard page that is not the final page. The syntax for the link can be taken from the final page. By default, it reads as follows:
<a href="#surveySummaryLink#" target="_blank">PDF receipt</a>
Only the pages that have been viewed up to this page are then automatically included in the receipt; subsequent pages are not.
Ā
Restriction for Loops
Please note that loops are not supported in receipts. If your questionnaire contains a loop, only the data from the last loop run is output in the receipt.
