EFS Release Notes 21.1

Portals

User management module

The User management module is a new page module within Portals. Now users who have been assigned the role of HR Manager can manage the accounts of the other portal users.

Configuration

Add the new User management module to a column 1 layout page (or create a new page and select the column 1 layout). Open the module configuration.

You have various setting options: You must assign a heading. You select the invitation template. You also specify:

  • to which panel group the participants will be added

  • how many invitations may be sent per portal

  • which portal roles will be visible

  • which roles may be assigned to the other portal users

Furthermore, you can provide additional user information via variables. The e-mail address as contact information of the panelist is mandatory.

The exterior view of the new module

In the external view of the new module you have, for example, the possibility to invite users, to filter the user list by type and status, and a table of all users. By default, the following user information is available:

  • Name

  • E-mail address

  • Registration

  • Status

  • Account type

You can assign the different portal roles to a portal user.

The three icons can be used to delete the individual users, send an e-mail regarding the password reset and a new invitation email.

The module can only be accessed by users who have been assigned the HR Manager role.

IDEA Guide: Offline participation

To invite team members who do not have their own email address or have limited internet access to an IDEA guide survey, you can create vouchers to give these so-called offline users access to the survey and the IDEA Guide voting page.

Configuration

Click on the Invitation tab of the guide configuration of your IDEA guide and select an e-mail template for the voucher codes.

Then activate the "Allow offline participations" option and define the number of possible offline participants (max. 100). You also need to select a panel group to which the offline participants will be assigned.

The vouchers include the following information:

  • Wave topic

  • Manager name

  • Wave creation date

  • QR code and URL

You can also change the logo of the vouchers.

Participants who are invited via vouchers will not get access to the Action Board to see results of the process.

ME Guide: Process details after process ended

From now on, the participant rates of the various feedback groups are available to the guide initiator even after the process has been completed. This makes it possible to draw better conclusions about the reasons for a failed survey.

Guides monitoring: improved detail view

Detail view of the IDEA guide and export function

To support the ideation process via the Guides monitoring module, the detail view of the IDEA guide waves is now available. The following information will be provided and can be exported:

  • Process details

    • topic selected by the guide initiator

    • start of the process

    • actions completed

  • Engagement

    • people invited: total number of the people invited to the process

    • people that suggested something: number of people that had been active in the suggestion phase

    • number of suggestions: total number of suggestions made

    • people participated in the voting: number of people that have been active in the voting phase

Detail view of the deleted processes

Deleted guide waves are now also displayed in the detail view.

Improvements: Report list

Report name for triggered reports

Automatically created reports listed in the report list module provide now the following information: Report + first and last name of the guide initiator + ID

Remove generated reports

In order to increase the clarity of the listed reports that are no longer required can be deleted. Use the trash can icon next to each report. The reports will only be removed from the list.

Auto-detect option for project type

Use the new "Detect from file" button for project import to automatically read the project type from the uploaded gpx file. The new button is always preselected when opening the "Import Project" tab.

End of support: Internet Explorer 11

We would like to inform you that from Oct 1st 2021 we will no longer support Internet Explorer 11 (IE 11). This is in line with many organisations ending support of this legacy browser, including its creator Microsoft who stopped supporting IE 11 on Nov 30th 2020. After this date, you may have a degraded experience if using IE 11. New features will not be available and certain features may cease to work. While we expect much of the platform to remain operational using IE 11 in the short term, any issues encountered with this browser will no longer be fixed after this date. Many of our customers have been using IE 11 since 2013. At this time we operated in a much less sophisticated online environment. Since then, new standards and browsers have allowed for more innovative online experiences. We highly recommend that our customers update their default browser to a more modern browser to experience a faster, safer, more responsive and extensive set of features in our EFS platform.
