Ideation Guide Vouchers (Blue Collar Scenario)

Users of the ideation guide feature can have vouchers created by the system which enable participants to access the questionnaire and the voting page using a URL that is printed on the voucher.

Ideation guides are a tool that helps teams gather and rate ideas related to a certain topic. The traditional way of inviting participants to an ideation guide wave is to send them several e-mails. One e-mail is sent for each phase of the ideation process (suggesting ideas, voting for the best ideas, publication of results). Users who do not have an e-mail address that can be used for this purpose (e.g. blue collar workers) cannot participate in ideation guide waves when the classic e-mail invitations are used.

In order to also provide ideation guides to teams of which not every member has an e-mail address of their own or frequent access to a computer, an ideation guide can also be participated in using vouchers that contain a URL to the guide questionnaire and the voting page. If a guide is configured to be used with participation vouchers the guide initiator can not only invite participants by their e-mail address but also order a certain amount of vouchers in the invitation step of the guide setup. Those vouchers can be handed out to team members and enable them to make suggestions and rate the suggestions of their colleagues. The URLs on the vouchers will take the participant to the user interface that is valid for the currently active phase of the process.

The vouchers include the following information:

  • Wave topic

  • Manager name

  • Wave creation date

  • QR code and URL

The logo of the vouchers can be changed.

You find a voucher preview on the invitation tab of the IDEA guide CMS. The preview has an editable logo so that a portal admin can choose a logo for that guide.

Vouchers can not be customised at this point. Participants who are invited via vouchers will not get access to the action board to see results of the process.

Usermanagement Module

The User Management module is a new page module within Portal. It is intended to help users who have been assigned the HR Manager to manage other portal users. Thus, the invitations to a portal, the access of users can be managed centrally. This module can also be used to create new portal users, define their roles, and delete or deactivate them. The module has a list view, which allows to search for e.g. email addresses of users. Filters such as account type and status are also applicable.

Can only be use in 1 column layout

Process details after process ended

During a 360° survey, the initiator can see the participant rates for the different feedback provider groups. After the process has ended, this information can no longer be accessed.

Especially in the case of unsuccessful 360° surveys, it is very often unclear to the initiator why the survey was not successful (e.g. no self-assessment or only a few responses in a particular group).

Now these statistics can be accessed even after the process is finished. Just click the button "Show rater-groups". It is now possible to also view the participant rates after the 360° survey has ended. The initiator of the survey can now see why the survey was not successful.

Improvements of the Portals module Report list

Report name for triggered reports

Automatically created reports listed in the report list module provide now the following information: Report + first and last name of the guide initiator + ID

Remove generated reports

In order to increase the clarity of the listed reports that are no longer required can be deleted. Use the trash can icon next to each report. The reports will only be removed from the list.

Guides monitoring

In order to support a particular ideation process you’re now able to oversee the usage of IDEA guide by using guides monitoring. The timeline view shows all processes of a user. The current phase is shown in the header. The following information is displayed:
